Civil status transcript (deed).

A life event such as a birth, marriage, divorce or death is recorded in a deed by the municipality where the event took place. This deed is recorded in the registers of civil status. Sometimes you may need a copy or an excerpt. A copy is a complete reproduction of the record. It is possible to obtain a multilingual copy of the birth certificate, marriage certificate or death certificate. You can only use the multilingual transcript abroad and with foreign authorities in the Netherlands.
Instruction text: Please note: a copy of the civil status records is often confused with an extract from the Basic Registration of Persons (BRP). You request this extract in your place of residence and in it the municipality declares that you are registered. We can only provide a transcript if the event took place in our municipality.

Requesting digitally

Personal request

To request a transcript in person, you must make an appointment link icon online or by calling 0492-378 500.

If you come to request a transcript or excerpt yourself, please bring:

  • a valid ID
  • possibly the letter from the authority requesting the extract

Written request

To request a transcript in writing, send a letter with a copy of your valid identification. In your letter, you will state that you need a civil registration transcript. In doing so, you will indicate which of the 4 events is involved:

  1. birth
  2. marriage
  3. registered partnership
  4. divorce and death

We will then send you the statement. You will receive an invoice for payment.

Through an authorization request

You can also authorize someone to pick up the transcript or excerpt on your behalf. This person must then be able to produce the following documents:

  • A written authorization signed by you that includes your information, who you are authorizing and for what purpose
  • your identification document or a copy thereof
  • his/her own identification.

The authorized representative must be 18 years of age or older.

A transcript can also be collected by someone with a "legitimate interest. This may be the case, for example, in legal proceedings. An extract can also be collected by another interested party (spouse or heir).
